Recording a Teams call does not require the Teams chat integration. Fivo's meeting assistant joins the Teams meeting as a participant, records it and writes the report. This article covers how to bring it into your Teams calls.
If you want Fivo to read your Teams chats or post summaries into a chat, that is a separate connection: see Connect Microsoft Teams.
What it adds to your Brain
Every Teams call the assistant joins becomes a report: transcript, recording with timestamps, AI summary, chapters, tasks and action items, and participants. You can chat with the report afterwards.
Each report is also a document in your graph. Fivo extracts who attended, what was decided, who committed to what and which topics came up, and links them to the companies and projects they concern. See Meeting reports.
Before you start
The assistant reaches a Teams call in one of two ways:
- Through your calendar: connect your Microsoft Outlook calendar (or Google Calendar, if the Teams link lives there) in Integrations. The assistant reads the join link from the event. See Connect your calendar.
- By link: paste the Teams meeting link on Home. Nothing to connect.
The assistant joins as a visible guest participant and announces itself. Teams meetings often hold external guests in the lobby, so someone in the meeting may have to admit it.
Step by step
To join automatically:
- Open Integrations in app.fivo.ai and connect Microsoft Outlook or Google Calendar under Calendaring.
- Choose the join mode in Account Settings > Meeting Preferences > Meetings assistant or in Home > Upcoming events > Settings: join all calls (recommended), join only meetings you created, or join manual meetings only.
- Your upcoming events appear on Home, and the assistant joins each Teams call that matches your mode.
To join one call by hand:
- On Home, use Add link and paste the Teams meeting URL from the invite.
- The assistant joins that call when it starts.
What happens next
After the call, Fivo processes the recording and publishes the report. Tasks detected in the call appear inside the report and on Home. With email recaps set in Settings > Recap Settings, a summary is emailed to the recipients you chose: only you, everyone on the invite, or nobody.
If you have also connected Teams chat and chosen a chat for instant report delivery, the summary and tasks are posted there as soon as the meeting ends.
Who sees the report: when the assistant joined through your calendar, every participant of the event gets access by default. When you added the link by hand, only you do. Change access from the report page, or add the report to a space for a whole team. Access to a report is also access to its facts in the graph. See Permissions: what your Brain can see.
Disconnect
There is nothing Teams-specific to disconnect for recording. To stop the assistant from joining, set the join mode to manual (recommended) in Meeting Preferences, or disconnect the calendar in Integrations. The Teams chat integration, if you have it, is disconnected separately.
Troubleshooting
- The assistant is waiting in the lobby. Teams held it as an external guest. Someone in the meeting has to admit it, or the organizer can change the lobby setting for that meeting.
- The assistant did not join a scheduled call. Make sure the event carries a Teams join link, lives in a connected calendar and matches your join mode.
- The wrong account's calendar is connected. Disconnect the calendar in Integrations and connect again with the work account that holds your meetings.
- A call was recorded that should not have been. Switch the join mode to manual, or remove the join link from the event before it starts.
