Your calendar is the backbone of your work: it says who you meet, how often, and about what. Connecting Google Calendar or Outlook shows your upcoming events on Home and feeds your own graph with the meetings you already had.

What it adds to your Brain

Once your calendar is connected, a Calendar source appears in your graph. Fivo reads the events in your Google Calendar or Outlook that have already ended and turns each series of events into one item: its title, its description with join links and dial-in blocks removed, the organizer, the attendees, and the organizations their email domains belong to.

A weekly call with a client becomes one fact that says who meets whom and how often, linked to that company. A one-off meeting with a new contact introduces that person to your graph with the people they met. Events where nobody but you attends are skipped, as are rooms and shared resource calendars, so the graph is not filled with focus blocks and room bookings.

The Calendar source reads past events from roughly the last twelve months and keeps adding events as they end.

Before you start

You need the Google or Microsoft account that holds your work calendar. Any member can connect their own calendar; there is nothing to decide about scope, because the calendar is always personal.

When you click Connect, the provider asks you to approve Fivo's access to your calendar: reading your events, and creating events where Fivo needs them. On Google's consent screen, tick every box or use Select all. If the calendar permission is left unticked, the connection fails and Fivo asks you to reconnect.

Step by step

  1. Open Integrations in app.fivo.ai. The calendar is also offered during onboarding and from Home when you have no upcoming events.
  2. Under Calendaring, pick Google Calendar or Microsoft Outlook and click Connect.
  3. Sign in with the account and accept the permissions. You are sent back to Fivo.
  4. If the account has several calendars, choose which ones Fivo uses. At least one calendar must stay active.

The Calendar source in your graph needs no separate step: Fivo connects it for you once your calendar is linked. You can connect a second calendar account the same way and manage all of them from the same screen.

What happens next

Your upcoming events appear on Home. Fivo reads your past events into the Calendar source and shows progress in the AI Brain view, from queued to reading to done. From then on, an event joins the source once it has ended, and a series you edit is re-read so the graph reflects the change.

Each fact that comes from your calendar points back to the event it came from, so an answer like "you have met Ana every Tuesday since March" is backed by the series itself.

Who sees what: only you. When you ask a question in the organization graph, Fivo combines it with your personal graph, so facts from your calendar appear next to the team's without becoming visible to anyone else. See Permissions: what your Brain can see.

Disconnect

Open Integrations and click Disconnect on the calendar account. Fivo removes the stored credentials, your upcoming events disappear from Home, and the Calendar source stops receiving new events. If you connected several calendar accounts, disconnecting one leaves the others in place.

Troubleshooting

  • "We didn't get the calendar permissions Fivo needs." The calendar box was not ticked on Google's consent screen. Reconnect and tick every box.
  • "That calendar belongs to a different account." The calendar is already linked to another Fivo account. Sign in to Fivo with that account, or pick a different calendar.
  • "We couldn't keep your calendar connected." The provider did not return a refresh token. Remove Fivo from your Google or Microsoft account settings and connect again.
  • Upcoming events are missing. The calendar is not connected or needs to be reconnected. Fivo shows a Reconnect prompt when that happens.
  • A meeting is not in the graph. It has not ended yet, nobody else attended it, or it is older than the reading window.
