Email and calendar are the two sources almost every team should connect. The calendar tells Fivo which meetings are coming up. Email fills the gaps between them: the promise confirmed in writing, the stakeholder who joined a thread, the date that moved.
Connect your calendar
Open Integrations in app.fivo.ai and connect your Google or Microsoft calendar. From then on:
- Your upcoming events appear on the Home screen.
- Your Google Meet, Zoom and Microsoft Teams meetings can have their reports in Fivo. See Meeting reports.
- Fivo can prepare you for an event: attendees, their recent activity, open commitments and previous reports with the same people.
Which meetings get a report, and what happens after a call, is covered in Meeting reports.
Connect your email
Connect Gmail or Outlook from the same Integrations page. Fivo reads your mailbox and extracts what matters for the graph: who you correspond with, what was agreed, what is pending, and the dates attached to each.
Email is always personal. It feeds your personal graph and never the organization's, and nobody else at your company can see what came from your inbox, not even the owner. This is a hard rule, not a setting.
Inside the organization graph you still benefit from your email indirectly: when you ask a question, Fivo combines the organization graph with your personal graph, so your own facts appear next to the shared ones.
How email reaches the graph
Fivo reads a window of recent history when you connect, and then keeps syncing new messages. Not every message becomes a fact. Newsletters and notifications carry little, and Fivo focuses on correspondence with real people, with quoted replies and signatures stripped out. A thread becomes a single episode in the graph, so you see one fact with its context rather than ten copies.
Each fact that comes from email carries its date and a reference back to the message, so an answer like "agreed by email on 3 Sep" links to the source.
What email adds to your answers
- Promises in writing: "I'll send the revised proposal Friday" said on a call, then confirmed by email, is one commitment with two sources.
- People: a new stakeholder who appears in a thread is linked to their company and to the people they wrote to.
- Timelines: the activity view of an account includes the emails exchanged with it, in order, next to calls and tickets.
- Pre-call briefs: a 360º brief of a person includes your recent correspondence with them.
Limits to know
Deleting a message in your mailbox does not remove it from the graph automatically. If a message arrives with an internal date far in the past, it can fall outside the sync window. And because email is personal, a colleague asking the same question will not see facts that only exist in your inbox.
Troubleshooting
If upcoming events are missing, your calendar is not connected or needs to be reconnected. If a meeting ended up in Fivo that you did not want there, Meeting reports explains how to control which meetings do. If an email source shows "needs attention" in the AI Brain view, reconnect it from Integrations to refresh its permissions.
