Zoho CRM tracks your deals, accounts and contacts. Connecting it lets the Brain place every meeting and email on the right deal and answer about an account with the CRM's facts beside the conversation.

What it adds to your Brain

Fivo reads your Zoho CRM deals and the notes written on them and on accounts:

  • The deal: name, stage, amount, closing date and owner, together with the account it belongs to (with its website) and the account's contacts.
  • Notes on deals and on accounts, with their author and date.

Each deal becomes a thread, and notes are placed on the deal or account they belong to. Example question: "Which deals closing this quarter have a note mentioning a competitor?"

Before you start

  • You need a Zoho CRM user who can see the deals, accounts, contacts and notes you want Fivo to read. Your organization's Zoho settings may require an administrator to authorize third-party apps.
  • When you approve Fivo, Zoho asks for permission to read your users, deals, notes, accounts and contacts, to create tasks, and to manage notifications. Task creation is used only when you share a meeting report or action items to Zoho CRM as tasks. Notifications are how Zoho tells Fivo when a deal or note changes.

Step by step

  1. Open Integrations in the app and choose Zoho CRM.
  2. Click Connect. Zoho opens its sign-in page.
  3. Sign in to Zoho, choose the account if asked, and accept the permissions.
  4. Fivo confirms the connection, records your Zoho organization on its own and registers a notification channel so changes arrive live.
  5. Optionally, choose a user under Assign to. This is the Zoho CRM user tasks are assigned to when you share action items from a meeting. It does not limit what the Brain reads.

What happens next

Fivo reads your deals first and then your notes, asking Zoho only for what changed since the last pass. In the AI Brain view the Zoho CRM source moves from queued to reading to done.

After the first read, new and edited deals and notes arrive live: Zoho notifies Fivo of the records that changed, and Fivo reads them back. Zoho's notification channels expire after a week, so Fivo renews its channel on its own. The regular sync pass also runs to catch anything the notifications missed.

Who can see what: with organization scope, Zoho CRM material is readable by the people who are active users in your Zoho organization, matched by email to members of your organization. Fivo does not evaluate Zoho data-sharing rules or territory management, so a user hidden from a record by those rules is still counted as a reader. See Permissions: what your Brain can see.

Disconnect

Open Integrations, select Zoho CRM and click Disconnect. Fivo removes its notification channel, stops reading and deletes the stored credentials. What the Brain already learned stays in the graph; connecting the same organization again resumes reading. To take Zoho material out of the graph, use Remove from graph on the Zoho CRM source in the AI Brain view.

Troubleshooting

  • "Reconnect to read". The connection was revoked in Zoho or expired, or it was made before reading was added. Click Reconnect and sign in again.
  • Nothing appears yet. Zoho reads deals in pages of a few hundred records; a large organization takes several passes. Check the source status in the AI Brain view.
  • Changes do not arrive live. If the notification channel could not be created or renewed, changes still come in on the regular pass. Reconnecting creates the channel again.
  • Notes are missing. Fivo reads notes attached to deals and accounts. Notes on other modules are not read.
