Trello boards are simple and that is their strength: a card, a list, a few people. Fivo reads the boards you choose, creates cards from the tasks your meetings produce, and follows those cards as they move.

What it adds to your Brain

For each board you choose, Fivo reads the cards touched within the history window: name, description, the list the card sits in (its state), members, due date and labels, plus who created the card and the comments on it.

Fivo also writes. Action items detected in a meeting can be created as cards in the list you chose, assigned to the board member whose full name matches. When a card Fivo created moves to another list, is archived, gets a new due date, is commented or deleted in Trello, the task in Fivo updates. You can turn on instant task delivery so cards are created as soon as a meeting ends, for your own meetings or for meetings you are invited to. Trello does not receive meeting reports, only tasks. See Tasks and commitments.

Example question your AI can then answer: "Which cards on the Support board are overdue, and what was the last comment on them?"

Before you start

  • A Trello account with access to the boards you need.
  • Organization scope requires the organization owner. See Connect your tools.

Step by step

  1. Open Integrations in app.fivo.ai and find Trello.
  2. Click Connect. Trello opens its authorization page and asks you to allow Fivo to read and write on your behalf. The authorization does not expire on its own.
  3. Back in Fivo, open the integration's Configuration and choose:
    • Board: the boards available to you.
    • List: the open list of that board where cards will be created.
    • Instant task delivery for your meetings and for meetings you are invited to, if you want cards created automatically.
  4. Save.
  5. To feed your graph, go to the Brain view, connect Trello as a source and pick the boards to read. Fivo lists every open board you reach, named after its workspace.

What happens next

Fivo reads each board's cards within the history window of the source and registers a webhook on every board it reads. From then on, new cards and new comments reach your graph as they happen, and the cards Fivo created sync their status back immediately. Everything else is re-read on a regular schedule.

Trello tells Fivo who is a member of a board, so with organization scope a board's facts are visible to its members. Trello does not share email addresses, so Fivo knows Trello people by username and full name and matches them to your colleagues by name. An owner or admin can confirm those matches. See Permissions: what your Brain can see.

Disconnect

Open Integrations, select Trello and click Disconnect. Fivo removes the webhooks it registered on your boards. To stop reading one board while keeping sharing, use Remove from graph in the Brain view.

Troubleshooting

  • Cards arrive unassigned. Fivo matches the task's assignee against the full names of the board's members. Add the person to the board or adjust the card by hand.
  • A card moved but the task in Fivo did not change. Fivo maps list names to its statuses (To Do, In Progress, Done). A list with an unusual name is not mapped; archiving the card marks the task Done.
  • Fivo asks you to reconnect. Connections made before Fivo could read Trello only had permission to create cards. Sharing keeps working; reconnecting adds reading.
  • A board's history looks incomplete. Trello caps a board's activity log, so Fivo reads card by card instead. Cards not touched within the history window are not included.
