Connecting HubSpot gives the Brain the state of every deal next to what was actually said on calls and in email, so you can ask about an account instead of hunting through records.

What it adds to your Brain

Fivo reads your HubSpot deals and everything logged on them:

  • The deal itself: name, stage and pipeline, amount and currency, close date and owner.
  • The company and contacts associated with the deal.
  • The engagements attached to the deal: notes, calls, emails and meetings, each with its author and date.

Each deal becomes a thread, and every note or call on it is placed there with its author. Facts keep a link back to the HubSpot record.

Once HubSpot is in, you can ask things like: "Which deals in the negotiation stage mentioned pricing objections this month, and who owns them?"

Before you start

  • You need a HubSpot user with access to the deals, companies and contacts you want Fivo to read. If your HubSpot account restricts who can install apps, ask a super admin to connect it or to allow the installation.
  • When you approve Fivo in HubSpot, it asks permission to read your contacts, companies, deals and owners, to read sales emails logged in the CRM, and to create contacts-related notes and tasks. The write permission is only used when you share a meeting report or action items to HubSpot yourself; reading for the Brain never changes anything in your portal.
  • CRM tools are usually connected with organization scope by the organization owner. See Connect your tools.

Step by step

  1. Open Integrations in the app and choose HubSpot.
  2. Click Connect. HubSpot opens its authorization page.
  3. Sign in to HubSpot, pick the account (portal) you want to connect if you belong to several, and approve the permissions.
  4. You are sent back to Fivo, which confirms the connection. Fivo records which portal was connected on its own.
  5. Optionally, choose a Contact and an Owner. These are used when you share a meeting report or tasks to HubSpot: the contact the report and tasks will be attached to, and the HubSpot user the tasks will be assigned to. They do not limit what the Brain reads.

What happens next

Fivo starts reading your deals and the notes, calls, emails and meetings on them. In the AI Brain view the HubSpot source moves from queued to reading to done.

After the first read, deal changes arrive live: HubSpot notifies Fivo when a deal is created or changes, and Fivo reads the deal back. HubSpot does not send notifications for notes, calls, emails or meetings, so those are picked up on the regular sync pass along with anything the notification missed.

Who can see what: with organization scope, HubSpot material is readable by the people who are HubSpot users in that portal, matched by email to members of your organization. Fivo uses the portal's list of owners for this. It does not reproduce finer partitions, such as team-based record visibility on Enterprise portals. See Permissions: what your Brain can see.

Disconnect

Open Integrations, select HubSpot and click Disconnect. Fivo stops listening to HubSpot notifications, stops reading the portal and deletes the stored credentials. What the Brain already learned from HubSpot stays in the graph; if you connect the same portal again, reading resumes where it left off. To take HubSpot material out of the graph, use Remove from graph on the HubSpot source in the AI Brain view instead: that stops reading and removes what it brought in.

Troubleshooting

  • "Reconnect to read" on the HubSpot source. The connection no longer has what Fivo needs, usually because the token expired or was revoked in HubSpot, or because the integration was connected before reading was added. Click Reconnect and approve again; sharing keeps working meanwhile.
  • Nothing appears yet. A large portal takes a while on the first pass, and HubSpot's search caps how much can be read in one window. Check the source status in the AI Brain view; "Queued to read" means it has not started.
  • A deal is missing. Fivo only reads deals your connecting user can see in HubSpot. If a deal is hidden from that user, connect with a user who can see it.
