ClickUp organises work in workspaces, spaces, folders and lists. Fivo reads the lists you choose, writes reports and tasks into the place you pick, and listens for changes.
What it adds to your Brain
For each list you choose, Fivo reads its tasks, including closed tasks and subtasks: name, description, status, assignees, priority, due date and tags, plus the comments on each task.
Fivo also writes. A meeting report can be sent as a ClickUp Doc in your workspace, inside the folder you chose. Action items can be sent as tasks into the list you pick, or into a list named "FivoAI Tasks" that Fivo creates in your folder if you did not pick one. Assignees are matched by username. When a task Fivo created changes status, due date or assignee, gets a comment or is deleted in ClickUp, the task in Fivo updates. See Tasks and commitments.
Example question your AI can then answer: "Which tasks in the Launch list are blocked, and what was the last comment on each?"
Before you start
- A ClickUp account with access to the workspace you need.
- Organization scope requires the organization owner. See Connect your tools.
Step by step
- Open Integrations in app.fivo.ai and find ClickUp.
- Click Connect. ClickUp opens its authorization page, where you choose the workspaces to authorize Fivo for.
- Back in Fivo, open the integration's Configuration and choose:
- Workspace: needed to share reports.
- Space: spaces in that workspace.
- Folder: needed to share tasks.
- List (optional): where tasks go. Folderless lists of the space are offered too.
- Save.
- To feed your graph, go to the Brain view, connect ClickUp as a source and pick the lists to read. Fivo lists every list in every space and folder of your workspaces, and the lists shared with you directly.
What happens next
Fivo reads each list's tasks updated within the history window of the source, then re-reads on a regular schedule. Fivo registers a webhook on your workspace when you send tasks: from then on, new comments on tasks reach your graph as they are posted, and status, due date, assignee and deletion changes of the tasks Fivo created sync back immediately. Other changes arrive with the next read.
ClickUp only reports the people explicitly added to a list. With organization scope, a list's facts are visible to those members; someone who reaches the list through the space or folder may not see them in the graph. See Permissions: what your Brain can see.
Disconnect
Open Integrations, select ClickUp and click Disconnect. To stop reading while keeping sharing, use Remove from graph in the Brain view.
Troubleshooting
- "Choose where to share in ClickUp first." Sharing a report needs a workspace; sharing tasks needs a folder. Set them in the integration's configuration.
- Tasks landed in a list called "FivoAI Tasks". That is the list Fivo creates when none is chosen. Pick a list in the configuration to change it.
- Tasks arrive unassigned. Fivo matches the assignee against the usernames of the list's members. Add the person to the list, or accept that they will be assigned by hand.
- Changes in ClickUp do not reach Fivo. The webhook is registered when tasks are sent. Send tasks again, or reconnect.
