Asana tells your graph what the team is working on. Connected both ways, it also receives the tasks your meetings produce and reports their progress back to Fivo.
What it adds to your Brain
For each project you choose, Fivo reads its tasks: name, notes, whether it is completed, the section it sits in (the project's column), assignee, due date and tags, plus the comments on each task. A task and its comments form one episode.
Fivo also writes. A meeting report can be sent as a task in the project you choose, with the report in its notes. Action items detected in a meeting can be sent as tasks, assigned to the matching Asana user when the name matches, and placed in the section you picked. When a task Fivo created is completed, moved to another section, re-dated, reassigned or commented in Asana, the task in Fivo updates. See Tasks and commitments.
Example question your AI can then answer: "What is still open in the Website relaunch project, and who owns it?"
Before you start
- An Asana account with access to the workspace and projects you need.
- Organization scope requires the organization owner. See Connect your tools.
Step by step
- Open Integrations in app.fivo.ai and find Asana.
- Click Connect. Asana opens its authorization page. You approve permissions to read users, workspaces, teams and projects, to read and write tasks, and to read task activity (stories).
- Back in Fivo, open the integration's Configuration and choose:
- Workspace: the workspaces available to you.
- Project: projects in that workspace. In an Asana organization, projects are listed through your teams.
- Section (optional): where tasks are placed inside the project.
- Save.
- To feed your graph, go to the Brain view, connect Asana as a source and pick the projects to read. Fivo lists every live project in every workspace you reach.
What happens next
Fivo reads each project's tasks modified within the history window of the source, then keeps re-reading on a regular schedule. Asana's events only say that something changed, not what, so new knowledge arrives with the next read.
Status sync is live: when you send tasks to a project, Fivo registers a webhook on it, and changes to those tasks reach Fivo as they happen.
Asana tells Fivo who can read a project. With organization scope, a private project's facts are visible to its members, a team-private project's facts to the team, and a public project's facts to the whole workspace. See Permissions: what your Brain can see.
Disconnect
Open Integrations, select Asana and click Disconnect. To stop reading while keeping sharing, use Remove from graph in the Brain view.
Troubleshooting
- The project list is empty. In an Asana organization, projects belong to teams. Fivo falls back to listing the projects of your teams; make sure you are a member of the team that owns the project.
- Tasks arrive unassigned. Fivo matches the assignee's name against the workspace's users. If the name in the meeting does not match an Asana user closely enough, the task is created without an assignee.
- A task did not land in the section you chose. If the section was deleted, Fivo still creates the task in the project's default section and continues.
- Status changes do not reach Fivo. The webhook is registered when tasks are sent. Send tasks again from a report, or reconnect the integration.
